Privacy policy
Last updated: [DATE TO BE COMPLETED]
The purpose of this Privacy Policy is to inform users of the website vodafone-tmut.com (hereinafter « the Site ») about how their personal data is collected and processed in connection with the Tahiti-Mooréa Ultra Trail (TMUT). It applies in particular to the service allowing users to submit an encouragement video for a runner identified by their bib number, and to the service allowing runners to download the videos sent to them.
1. Data controller
The controller of the data collected through the Site is:
[PUBLISHER’S COMPANY NAME TO BE COMPLETED]
[REGISTERED OFFICE ADDRESS TO BE COMPLETED]
[LEGAL FORM AND REGISTRATION NUMBER TO BE COMPLETED]
For any question about this policy or to exercise your rights, you can contact us at: [GDPR CONTACT EMAIL TO BE COMPLETED].
2. Data collected
When you use the Site, the following data may be collected:
- when a video is submitted: the bib number of the runner the message is addressed to, the video file submitted and the voice and image of the people appearing in it, [the name and email address of the sender, if the form asks for them: TO BE CONFIRMED];
- when a runner downloads their videos: their bib number [and, where applicable, the information used to verify their identity (code, email address, etc.): TO BE CONFIRMED];
- technical connection data (IP address, browser type) collected automatically by the hosting server.
Anyone submitting a video must make sure they have obtained the consent of the people filmed or recorded (and, for minors, the consent of their parent or legal guardian) before uploading any content involving them.
3. Purposes of processing
The data above is collected for the following purposes:
- playing the encouragement video to the runner concerned when they pass the dedicated screen on race day;
- allowing runners to find and download the videos sent to them;
- ensuring the proper technical operation and security of the Site;
- responding, where applicable, to any contact request sent through the Site.
4. Legal basis
The processing of submitted videos, including making them available for download to the runner they are addressed to, is based on the explicit consent of the person submitting them, obtained at the time of submission via a dedicated checkbox. This consent may be withdrawn at any time, without affecting the lawfulness of processing carried out before its withdrawal.
The processing of technical connection data is based on the legitimate interest of the Site publisher in ensuring the security and proper operation of the Site.
5. Recipients of the data
The data collected is intended for:
- [PUBLISHER’S COMPANY NAME], the data controller;
- the runner concerned, only for the videos addressed to them, via the screen on race day and via the download page;
- the Site’s hosting provider, Octopuce (see our Terms of Use), which technically hosts the servers through which the data passes and on which it is stored;
- where applicable, the technical service provider responsible for developing and maintaining the video submission, playback and download system.
No data is transferred, rented or sold to third parties for commercial purposes.
6. Retention period
Submitted videos are kept until the end of the download period set out in our Terms of Use, i.e. [DURATION TO BE COMPLETED] after the event, and are then deleted within [X] days, unless the user requests earlier deletion.
Once downloaded by the runner, the copy of the video stored on their own device is their sole responsibility.
Technical connection data is kept for a maximum of 13 months, in line with the recommendations of the CNIL (the French data protection authority).
7. Your rights
In accordance with applicable data protection regulations, you have the following rights over your data:
- right of access;
- right to rectification;
- right to erasure;
- right to restriction of processing;
- right to object;
- right to data portability.
You can exercise these rights by contacting us at [GDPR CONTACT EMAIL TO BE COMPLETED], stating your first name, last name and the purpose of your request. A copy of an identity document may be requested if there is any doubt about your identity.
If, after contacting us, you believe that your rights have not been respected, you may lodge a complaint with the competent data protection authority (the CNIL for France, [LOCAL AUTHORITY TO BE CHECKED for French Polynesia]).
8. Cookies
The Site uses cookies, in particular to ensure its proper operation and, subject to your consent, for audience measurement purposes. On your first visit, a banner allows you to accept or refuse non-essential cookies, and you can change your choice at any time via the dedicated link in the footer.
9. Security
We implement appropriate technical and organisational measures to protect your data against loss, unauthorised access, disclosure or destruction. Access to downloadable videos is restricted to the runner they are addressed to.
10. Changes to this policy
This Privacy Policy may be updated at any time, in particular to comply with regulatory changes. We invite you to review it regularly.
